Eligibility check

An eligibility check is the step where a dental office confirms with a patient's insurance company that coverage is active on the appointment date and learns what the plan pays for. Staff run it before the visit, so the patient hears about coverage, deductibles and limits at the desk instead of after treatment.

Why it matters to the front desk

A coverage surprise is hardest to fix once the patient is in the chair. Checking ahead lets the front desk see whether the plan is active, whether the subscriber and dependent details match the payer's record, and which benefits apply to the scheduled procedures. When a plan has lapsed or the details do not match, the team has time to call the patient, correct the record or arrange another way to pay before the appointment.

An office can check the next day's schedule ahead of time, whether by phone, by payer portal or with software. The result is only as detailed as the payer returns, so staff still read it for gaps, such as a missing frequency limit, and phone the payer when something is unclear. The goal is that the patient never learns the real answer for the first time at checkout.
